View My Events

Overview

This workflow helps members quickly find and review their upcoming event assignments, check schedules, and track their work hours through the calendar and subscriptions features.

Prerequisites

  • Member account and login access
  • Event assignments from administrators
  • Active subscriptions to events

Steps

1. Log Into System

  1. Navigate to application URL
  2. Enter your credentials:
    • Username or email
    • Password
  3. Click Log In
  4. Dashboard loads with your information

2. Check Dashboard for Quick Overview

  1. Dashboard displays upon login
  2. Look for announcements (banner at top)
  3. Review dashboard widgets:
    • Upcoming events
    • Recent assignments
    • Quick statistics
  4. Note any urgent announcements

3. View Calendar

  1. Navigate to Quick Links → Calendar or click Calendar link
  2. Calendar displays with:
    • Monthly view (default)
    • Your assigned events highlighted
    • All organization events visible
  3. Navigate calendar:
    • Previous/Next arrows: Change months
    • Today button: Return to current month
    • Month/Year picker: Jump to specific month

4. Review Your Event Assignments

  1. Your assigned events appear in calendar
  2. Events may be color-coded by:
    • Event type
    • Location
    • Team
    • Status
  3. Click on any event to view details:
    • Event name
    • Date and time
    • Location
    • Your assigned position
    • Duration
    • Team assignment
    • Contact person

5. Access My Subscriptions

  1. Navigate to Member → My Subscriptions
  2. Subscriptions page displays your assigned events
  3. View organized by month (current month shown first)

6. Navigate Between Months

  1. Use month navigation:
    • ◀ Previous Month: View earlier assignments
    • ▶ Next Month: View future assignments
    • Today button: Return to current month
  2. Month name displays at top (e.g., "January 2026")

7. Review Subscription Details

For each subscription row:

  1. Title: Event name
  2. Date: Event date
  3. Day: Day of week
  4. Location: Venue name
  5. Time: Start time
  6. Positions: Your assigned position
  7. Expand/Collapse: Click row to show more details

8. Expand Event for Full Details

  1. Click on subscription row
  2. Row expands to show:
    • Event Description: Full event details
    • Duration: Event length
    • Contact Person: Who to contact
    • Requirements: Special requirements
    • Status: Assignment status
    • Actual Hours: Hours worked (if recorded)
    • Subscribed By: Who assigned you
    • Notes: Any special notes

9. Track Your Hours

  1. Expanded view shows:
    • Scheduled Hours: Expected duration
    • Actual Hours: Hours actually worked
  2. Note hours for personal tracking
  3. Contact supervisor if hours incorrect

10. Check for Changes

Regularly check for:

  1. New Assignments: New events added
  2. Cancellations: Cancelled events
  3. Time Changes: Updated start times
  4. Location Changes: Different venue
  5. Position Changes: Different assignment
  6. Announcements: System-wide updates (banner)

11. Note Important Information

For upcoming events, note:

  • Event date and time
  • Location and parking info
  • Position assignment
  • Duration (to plan day)
  • Contact person
  • Special requirements
  • Uniform or equipment needed
  • Arrival time (usually before start)

12. Prepare for Event

Before each event:

  1. Verify date and time
  2. Know location address
  3. Plan transportation
  4. Check weather if outdoor event
  5. Gather required items:
    • Uniform
    • ID badge
    • Special equipment
  6. Arrive early (typically 15-30 min before)
  7. Contact person if running late

13. After Event

Post-event actions:

  1. Verify hours recorded correctly
  2. Contact supervisor if discrepancies
  3. Note any issues for future reference
  4. Check for next assignment

  • Logged into system
  • Checked dashboard for announcements

Common Issues

No Events Showing

  • Problem: Calendar or subscriptions empty
  • Solution:
    • Verify you're logged in
    • Check correct month selected
    • Contact administrator if no assignments
    • Confirm you're assigned to events

Cannot See Event Details

  • Problem: Click doesn't expand row
  • Solution:
    • Refresh browser page
    • Try different browser
    • Click directly on row (not expand icon)
    • Clear browser cache

Wrong Hours Displayed

  • Problem: Hours don't match actual time worked
  • Solution:
    • Contact event supervisor
    • Provide actual hours worked
    • Request correction
    • Keep personal record of hours

Event Not Showing in Calendar

  • Problem: Assigned event missing from calendar
  • Solution:
    • Check My Subscriptions page
    • Verify event date
    • Refresh browser
    • Contact administrator

Cannot Find Subscriptions Page

  • Problem: My Subscriptions link missing
  • Solution:
    • Look under Member menu
    • Try Quick Links menu
    • Contact administrator for link
    • Check user permissions

Tips for Members

Regular Checks

  • Weekly Review: Check calendar every week
  • Day Before: Verify event details day before
  • Morning Of: Double-check time and location
  • After Event: Confirm hours recorded

Organization

  • Calendar Sync: Add events to personal calendar
  • Set Reminders: Set phone reminders for events
  • Screenshot Details: Save event details in phone
  • Contact List: Save supervisor contact info

Communication

  • Questions: Don't hesitate to ask supervisors
  • Changes: Report schedule conflicts immediately
  • Availability: Update availability with administrator
  • Feedback: Provide feedback on events

Preparation

  • Know Location: Map out venue before first visit
  • Check Weather: For outdoor events
  • Uniform Ready: Keep uniform clean and ready
